Best practices for organizing videos in Loom

10 min

By the end of this lesson, you'll be able to:

  • Use folders to organize videos
  • Import videos to Loom
  • Add hashtags to videos to improve organization and searchability
  • Archive and delete videos you no longer need

Create a folder system for your videos

Folders allow you to categorize your content based on projects, teams, or any other criteria that make sense for your workflow. Folders can help you organize your personal video library as well as content in a shared space for your team or project collaborators.
Staying organized with folders not only saves time but also ensures that your team can efficiently collaborate and access the necessary resources.
👇 Click the tabs below to see how to create and move folders.
To create a folder:
  1. Start from your Library, a space you are a member of, or within an existing folder if you wish to create a folder nested inside it.
  2. Click the New folder button in the top-right corner and give it a title.

Folders can belong to only one space and cannot be shared in multiple spaces.

If you have a folder of Looms that you want to share to a space, you can simply bulk select the videos within the folder and then move them to that space.

Import existing videos to keep all your videos together

Importing existing videos recorded elsewhere into Loom can streamline your workflow and centralize your video content. This is particularly useful if you have valuable videos stored on other platforms that you want to leverage within Loom's ecosystem.
Pulling all your videos into one place simplifies your content management and provides a single platform for organizing, sharing, and analyzing videos.
To add an existing video to your Loom library:
  1. From your Library, click on the New video button in the top-right corner.
  2. Select Upload a video.
  3. Drag and drop a video file or browse video files on your computer, then click Upload.
👇 Watch this video to see how to import video files to Loom.

A single upload is limited in number to 10 videos at a time, and a size of 4 GB or 12 hours, whichever is less.

Use video hashtags to enhance organization and searchability

Adding hashtags to your Loom videos is an effective way to improve organization and searchability. Hashtags act as metadata, making it easier to categorize and locate videos based on specific topics or themes. Hashtags help streamline the search process, saving time and ensuring that important content is easily accessible.
To add hashtags to a Loom:
  1. From your video, click the Add tag button below your video summary and chapters.
  2. Select from a list of recently used or suggested tags, or create a new one.
👇 Watch this video to see how to add and search by hashtags.

Remove videos you no longer need to keep your library tidy

One simple way to keep your library and spaces organized and tidy is to regularly remove videos and folders that are outdated or no longer needed. To do this, you can either archive or delete them.
  • Archiving removes them from your video library and stores them in the Archive tab for safekeeping. Archived videos and folders can always be restored to their original location.
  • Deleting permanently deletes your video or folder. This action cannot be undone, so it is best reserved for situations where you are absolutely sure the video is no longer needed.
👇 Click the tabs below to see how to archive, restore, and delete in Loom.
To archive a single video or folder:
  1. Within your library, hover over the video or folder you want to archive.
  2. Click More actions (represented by •••) and select Archive.
To archive multiple videos or folders at once:
  1. Within your library, hover over each video or folder you want to archive and click the check box that appears in the top-left corner of the thumbnail.
  2. In the bar at the bottom of the screen, click the Archive button, indicated by a filing box icon.
